Career Position - Branch Customer Service Representative

Primary Job Objective

  1. To facilitate customer orders and inquiries for replacements parts on equipment represented by the Company as well as other items and manufacturers.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

Sales Related

  1. In addition to parts sales, continually looks for new ways to increase units and service sales.
  2. Assures that all leads are properly followed up on and reported in a timely manner. Develops and maintains a good working relationship with customers. This includes visitation and delivering of items as required.
  3. Ascertains make, model, serial number and type of part(s) needed.
  4. Receives payment or obtains credit authorization.
  5. Wraps or bags merchandise for customer.
  6. Advises customer on substitution or modification of part when replacement is not available.
  7. Examines returned part to determine if defective, and exchanges part or refunds money.
  8. Receives and fills telephone, facsimile, and email orders for parts.

Shipping

  1. Assures that items to be shipped are properly weighed (if required), boxed or crated. Affixes packing slip and generates bill of lading as required.
  2. Responsible for operation of UPS register machine.
  3. Compares packing slips and bills of lading to merchandise to assure proper items and quantities are being shipped.
  4. Maintains the inventory control system when items are received.

Receiving

  1. Checks all incoming shipments for damage, and verifies merchandise against the packing slip and purchase order. Notes all freight damage and discrepancies on carrier's paperwork and packing slip.
  2. Date stamps packing slips and freight bills.
  3. Verifies serial numbers (where applicable).
  4. Promptly transfers received items to their proper location. Notifies purchasing as to where "hold" items are located so they can be properly accounted for in the inventory control system.

Inventory Control

  1. Purchases stock inventory items as directed by the Parts Manager.
  2. Reviews inventory for overage/shortage discrepancies on a perpetual basis.
  3. Assists in processing service department requisitions for supply and return of parts for work orders.
  4. Marks and stores parts in stock area according to prearranged system.

Housekeeping

  1. Maintains a clean, orderly warehouse:
    • Warehouse space is utilized in the best way.
    • Staging area of incoming and out-going shipments is kept as clear as possible.
    • Warehouse is kept clean and free from debris, having been swept frequently.
  2. Keeps Parts Storage Room in order:
    • Parts are located in their proper bins and shelves.
    • Parts are kept properly covered or wrapped in appropriate material for long term preservation.
    • Clean oil spots on concrete floors in building.

Administration

  1. Assists in taking accurate physical inventories as required.
  2. Provides regular and timely communications, both verbally and in writing, to the Parts Manager, keeping him/her informed of unresolved problems or progress on specific projects as required.
  3. Follows established company policies and procedures.
  4. Performs other duties as assigned by the Parts Manager.

Safety

  1. Performs job in accordance with the company's injury prevention program.

Qualifications

Education and/or Experience
Associate's degree (AA) or equivalent from two-year College or technical school; or six months to one year related Customer Service experience and/or training; or equivalent combination of education and experience.

Language Skills
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other Company Members of the organization. Speaking Spanish is a plus.

Mathematical Skills
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Computer Skills
